Position Overview:
For Cellebrite’s offices in Petach Tikva, we are seeking an Administrative Assistant who is passionate about supporting team both globally and locally. This is a fantastic opportunity to become part of the operations services team within a thriving and impactful company dedicated to accelerating global justice. We are looking for someone with exceptional communication skills, a friendly and service-oriented attitude, and a strong sense of responsibility. The ideal candidate will be proactive, taking personal initiatives to improve the office environment and ensure a warm and welcoming atmosphere for everyone.
Key Responsibilities:
- Provide administrative support at the Petach Tikva (PT) office, managing office supplies, food services, deliveries, and mail while ensuring adherence to budget guidelines.
- Greet and assist visitors, including candidates, vendors, and guests, creating a professional and welcoming environment.
- Maintain clear communication and coordination with stakeholders and relevant departments to support administrative functions, including IT services, facilities & maintenance, and HR.
- Oversee the scheduling and management of meeting and training room calendars.
- Manage office-related documentation, including vendor invoices and expense tracking.
- Assist employees with workplace services such as parking arrangements, gym memberships, and other administrative needs.
- Facilitate the onboarding process for new hires and oversee offboarding procedures for departing employees.
- As a member of our Admin team, you may be required to work at our other offices as needed to support seamless collaboration and efficiency within the team
- Perform additional operational and administrative tasks as assigned by the direct manager.
Requirements:
- Experience: Minimum of 3 years as an administrative assistant, receptionist, or in a similar role within a fast-paced environment.
- Education: Bachelor’s degree (B.A./B.Sc.).
- Language Skills: Proficiency in spoken and written English.
- Technical Skills: Strong command of Microsoft Office tools (Excel, Word).
- Organizational Skills: Excellent time management, problem-solving, and multitasking abilities, with a strong capacity to prioritize tasks effectively.
- Work Commitment: On-site role, 5 days a week during regular working hours, with a willingness to stay extra hours as needed.
- Communication & Interpersonal Skills: Strong customer service mindset, excellent communication, and a positive attitude.
- Adaptability: Eager to learn new skills and take on new challenges.
